ITPC  Tutor  Training  Program  Certification  Application  Packet  for:

 

“2nd Stage:  Reflection & Renewal” (3 years)

     

Welcome.  Read through this entire “Application Packet”  BEFORE  you start to complete the application(s).

This appl. is your request to have your current level(s) of ITPC certification continued for the next 3 years

Note:  If you want to add a new level(s), also submit a “1st Stage:  New” program appl. for the new level(s).

 

The Purpose and Structure of this Application is intended to help you “reflect” on two training questions: 

1)    What is working well in your current tutor training, and helping you to comply with the CRLA-ITPC

Certification Requirements”:  http://www.crla.net/itpc/certification_requirements.htm ? , and,

2)    Are there any changes you want to make to better accomplish your program’s goals, and compliance? Please provide brief explanations for “Questions” 7-10.  Be sure to include descriptions of how your program complies with the requirements, and, include your documentation / files that verify your compliance.

 

Application  Training  Criteria

[Every application submitted requires complete explanations, verifying documentation, and appropriate fees.]

§  Each program that has identical tutor training procedures for each center at your campus

may apply on the same application packet, listing the tutor training program(s) requesting certification.

§  Each program that has its own, unique training procedure for each center at your campus requires a totally separate and complete application packet.         

 

Possible scenarios include:  Your campus has two tutor training programs you want certified, the “Math Center”, and the “Writing Center.”  Both centers train tutors at Levels 1 & 2.

Scenario 1:  Both centers conduct identical tutor training procedure at your campus.  Therefore, you complete a single application packet listing both centers under the “Program Name”.

Communications:  From ITPC to You:

The ITPC Coordinator receives 40-50 email inquiries a day, in addition to applications. 

Ø  Email queries are researched and answered by the ITPC Coordinator, aided by his assistant.  

Please allow 3-4 weeks for a reply to your itpc.questions@crla.net email inquiries. 

Ø  Applications are assigned to reviewers in the order they are received. 

Your colleagues review them as volunteers, in addition to their college or university duties.  

Allow 4 months for your application to complete the “Reflection & Renewal” review process. 

 

Application Status Emails We Send to You:  (generally using email templates)

ü  notice that your application was received or that your application / documentation is missing;

ü  notice that your fee payment was received or that your payment is missing;

ü  invoices for payments made via a charge card or personal check or if an invoice is requested;

ü  notice that your paid application packet has been assigned to a reviewer(s).

 

Notification of Certification:  Once your program is certified, ITPC will again email you these items:

ü  an official notification letter stating your program details, certified levels, and the current dates valid;

ü  a  new  ITPC Certificate, emailed as a .pdf attachment, listing your  institution name, campus location,

program name, levels certified, & the certification start & end dates for this certification period;

ü  links to CRLA-ITPC Tutor Award Certificate template(s) for your program’s certified levels,

which you may use, and adapt to include your institution’s information/logos/signatures/colors.

 

Suggestion for Your Own Annual Reports:  Including this program application information in your own annual institutional reports can be a triple benefit to you and your program:

1)    certification helps to bolster confidence in your program among your colleagues and your students;

2)    it illustrates that your program is vital component in student learning, and can stimulate funding; and,

3)    it preserves the data you have meticulously gathered here, which can greatly facilitate documenting

your future re-application packets when you need to re-apply for continued certification.

7.   Are there any projected changes in your tutor training program in the upcoming academic year?  If so, please describe the planned changes, and clearly reference any pertinent documentation you are including to verify your continued adherence to the requirement guidelines for each level you are requesting continued certification.  Be sure to list any added documents within Section “6. Document  Bibliography.” 

 

The requirements for CRLA certification helped us to develop a flexible and scalable training program.  Some projected changes planned for our training program are the result of: (1) the Central Arizona College Board requirement for a change to a district model of administration, (2) the need of additional training components for online tutoring, and (3) longer time-frame required for a comprehensive formal and informal training according to the standards for CRLA certification.

In the last 4 years, Central Arizona Collage gradually established a district-wide management system for all 10 locations. To align the training program with the district model, we developed a formal training via interactive video-conferencing, 2 days for each level (Appl. #1, 6 and 11). The evaluation of all formal training sessions is administered through surveys (appl. #5, 10, 14). The informal (supervised) tutor training portion (Appl. #3) continue through group or one-to-one training sessions (Appl. # 8, 13 and 15).

The district model requires strong online programs, including online tutoring. The Tutor Training Program is changing accordingly by developing an online platform for sharing resources and online tutoring via Blackboard. We are planning to develop fully online courses for Tutor Certification, EDU101 and EDU102.

The Supervised Tutor Training Form (Appl. #3) served as a measurement instrument for evaluation of long-term effect of tutoring program on tutoring practices. The data collected with this form showed that significant number of tutors needed longer time to move their theoretical knowledge into practical applications and routines. Therefore, we are planning to increase the time-frame for certification to one semester per level of certification.

The formal training (appl. #1, 6, 11) may be overwhelming for some new or prospective tutors. The Supervised Tutor Training Form (appl. #5, ) served as both a guideline for tutors and a measurement instrument for trainers in their effort to plan ongoing meetings for supervised training (Examples: appl. #8, 13, 15).

A second concern was related to the fact that sometimes tutors were hired after the scheduled formal training for one or more of the three training levels. To overcome this problem, tutor trainers provided alternative, scheduled, individualized one-on-one or small group training.

Due to the certification, both tutors and trainers are confident in our collective knowledge of tutoring pedagogy. To meet the requirements for certification, the trainers developed a well-organized process and a metric for the degree of professional development. The certification process provided opportunities for measuring and recognizing the professional growth for both tutors and trainers.

The certification requirements added values directly to our tutoring program, such as flexibility and adaptability to institutional changes. The CRLA-approved set of training materials allowed for a smooth transition as we expanded the tutoring program to online tutoring and a district-wide model of administration.
